Smart College in Digital India Campaign
1. Introduction:
Information and Communication Technology (ICT) is prevailing as one of the most efficient means for delivering services, exchanging information and interactions within the entire governance framework in a convenient, efficient and transparent manner. This approach can improve education system. Smart college SRGPC has implemented ICT in its entire system and has introduced e-governance in its sphere at a very fast pace. It can have long term impact on organizational goals. This has given way to the empowerment of faculties, students and encouraged their participation in governance with deeper visibility and enhanced operational efficiency. This also enables promotion of paperless and green environment.
1.1. Scope: SRGPC has evolved as a smart college involving all its stakeholders in its digital campaign. Stakeholders are all staff, volunteers and students of this institute.
1.2. Purpose: The purpose of this document is to present the way SRGPC has implemented e-governance to improve the delivery of information and services to students, faculty and staff.
2. E- Teaching learning:
The introduction of new technology has changed the structure of education in the institute. Now the role of teachers is changed and the learning environment has progressed towards e-teaching learning. Teachers are encouraged to design multimedia presentations by including pictures, graphs, charts, animations, audios, videos for advanced learning. Teachers upload the topics in .pdf, .ppt, ,doc, or .jpeg etc. format, taught by them in the classroom, on the college website. Students can refer them, at any time, later on. Download facility is also available. These methods are more beneficial than traditional methods of teaching.
3. E- office:
Documents and orders related to College establishment, orders related to account, audit, store, various rules and regulations of AICTE, RGPV, DTE, academic, personal files etc are stored in .pdf format and are available in College Server. All these documents are digitally secured. It saves the time, expedite the flow of work. Anything can be accessed from any computer in the LAN by the authorized person.
4. E- Library:
We are progressing towards the path in which digital information can become a substitute to print based information. E-library is a library in which information is stored in electronic format and accessible by computer or mobile phone. Books, Magazines, previous year exam question papers and other teaching aids in .pdf, .jpeg etc. formats are uploaded on it. E- Library is available on LAN and is password protected. Passwords have been provided to faculties/ staff/students to read them online. Students get limited books from library but through electronic library, they may get unlimited books at a time. E-library is uploaded on College server rather than platform of any publisher; hence all the teaching materials will be available for ever. This facilitates collection, management and preserving for the long depth of time rich electronic content. The contents are organized in groups in spite of individual items. The use of e-library enables easy and rapid access of books, magazines, question papers and other archives. The limitations of traditional libraries are storage space, book maintenance, limited accessibility to users etc. Information retrieval becomes easy with e-library. An important advantage of e-library is increased accessibility to users.
5. E- Leave Management System:
Before proceeding on leave, every employee has to apply for it electronically. Employees will raise leave request which will be sent to approval from the manager. Simultaneously, the same application will be reflected in their mail also. It can be difficult and time consuming for leave managers to handle and process the leave info of every employee. Leave applications of every case have to be dealt on a daily basis and checked with employees leave history. In such case e-leave management system can make this task simpler and faster. On a single click leave requests can be approved or cancelled which can make the overall process transparent and compliant to institute’s leave policy. Accurate information about the leaves can be accessed. These benefits indicate technical advancements in employee management that replaced the old traditional management system.
6. E- Attendance:
Attendance of staff is monitored by Bio-metric attendance system. Work timing, efficiency has been increased. As the biometric credentials are unique for every employee so they cannot be duplicated and that is the fact which makes biometric identification the most accurate system for employee identification. Biometric attendance system helps tracking of employee time and attendance accurately.
7. E –Recruitment:
Guest faculty recruitments are done online, on definite time period basis. All the received applications are displayed on College website and claims and objections are invited. After disposal of claims and objections, merit list is displayed on the website showing selection formula. Again claims and objections, on the merit list, are invited. After the disposal of claims and objections, final merit list is displayed. Finally, Panelists list is displayed, showing faith and full transparency in selection process. As mentioned in advertisement, everything is done on time frame basis.
8. Wi-Fi System:
College campus is facilitated with Wi-Fi using 10 MBPS dedicated optical fiber leased line. Students/ staff have been provided with unique user name / password. Wi-Fi facility is being monitored with proper electronically secured system. The student or faculty can access reference resources for research, documentation or consultation and the information they need to help them in their studies from anywhere in the college campus.
9. E- Store:
Consumable and Non-consumable (Dead Stock) items purchased, issued and remaining can be seen on network.
10.E- Notice Board:
All the notices related to students are displayed on college website, rather than on College Notice board, thus saving papers and a step towards a Green Campus. They need not to see College notice board on daily basis. This facility keeps the students up-to date with the information regarding academic/ extra- curricular activities.
11. Smart Classroom:
Classrooms have been equipped with interactive board, LCD projectors, Digital writing Pads, Cordless mike, PA system, Speakers, CCTV cameras, web cameras and computer with internet facility. Smart classrooms are very beneficial for better learning and teaching. Teaching faculties can have quick access to the numerous resources available on internet for thorough understanding of students. In today’s digital world students are curious to know everything and want to gain extra knowledge about the ongoing topic in the class. It is a limitation of a book that it contains only the syllabus. If any student wants knowledge beyond syllabus, internet can be a very useful way for this. The audio visual technology present in the classroom can make the process of learning interesting and enjoyable. It may also act as an efficient and productive method of teaching - learning. Animations and videos can be shown to the students for thorough learning. The technology used in the classroom can also make video conferencing possible in the classroom so that guest lecture can be organised. In this way the students can communicate with the experts of the respective subjects and people engaged in research work. It provides extra knowledge to the students.
12.Q.R. Coded Documents:
All important letters/ orders and other documents are QR coded. QR codes are a type of barcodes. They can be very useful when sharing documents. QR codes can make the documents more secure and safe. They are very accurate and time efficient and can be used in many ways for capturing data in documents. They can be inserted as a bookmark or for splitting the document. They can be used to identify the type of document processed using these codes. They can also be used for routing, indexing or storing metadata, naming etc.
